Understanding the Kits Feature in Tradify

Learn more about Kits in Tradify and how you can add these to Quotes.

Kits are a collection of materials, labour and miscellaneous costs that, when combined, make up an item that can be added to any quote in Tradify.

Kits are a great way to bundle costs together that make up typical services for a business. They also speed up the quoting process by making it easy to select just one master item instead of entering multiple items individually on a quote.

Important Note: Kits are exclusive to quotes. They cannot be used within Jobs, Invoices or Purchase Orders, however, they can be transferred as multiple line items to each of these features.

Price List Items and Kits

Kits commonly include Price List Items and Billing Rates. For more information check out Creating & Editing Price List Items and Adding your Labour Rates 

Price list items and Billing Rates inside a kit will automatically update when the item itself is changed in settings. For example, if you update the buy price from Price List Item settings, this will also be reflected in the Kit when used in future quotes (kit line items that were added to an existing Quote before the update will not change). 

Creating a new Kit

To add a new kit, head over to Settings, click on Kits, then select New > New Kit.

Note: The following fields will be displayed:

Display Name – Enter a display name for your Kit.

Note: This is the Item Description that the customer sees on a quote. 

Kit Category  – Kits can be grouped into categories to aid in searching and selecting Kits.

To add a line item, select Add Item.

Note: The following three options are presented when adding items to a Kit:

Time – Use this option to add labour your Kit.

Price List Item​ – Use this option to add a price list item to your Kit.

Miscellaneous – Use this option to add a miscellaneous item to your Kit. 

 

 

Adding Time to your Kit

To add labour to your kit, select Time, enter all of the required information and then select Save.

Note: The following fields will need to be filled in order to save.

Billing Rate – The hourly labour rate at which the time will be charged out at. You can find out more about​ billing rates here.

Description – A description of the labour line item being added to the Kit. This defaults to the billing rate’s display name, however, this can be modified to explain what the time entry covers. Also note, you can add more than one labour entry to each Kit.

Quantity – The number of hours required for this labour entry.

  

 

Adding Price List Items to your Kit

To add a price list item to your Kit, select Price List Item, enter all of the required information and then click Save.

Note: The following fields will need to be filled in order to save:

Item Code – The item code of the item being added to the Kit. This field is searchable. A filtered list of the Price List items will appear in a drop-down list as you type characters. Item codes are an internal reference, they are not displayed on the quote when sent to customers. 

Description – A description of the line item added to the Kit. This defaults to the price list item’s display name, however, this can be modified as required for this Kit.

Quantity – The quantity of the item used in the makeup or assembly of this Kit. This defaults to 1 but can be modified as required. 

 

 

Adding miscellaneous items to your Kit

To add a miscellaneous item to your Kit, click Miscellaneous, enter all of the required information and then click Save.

Note: The following fields will need to be filled in order to save.

Description – A description of the miscellaneous line item added to the Kit.

Cost - What this item costs you (optional - used to calculate profit).

Unit Sell Price - What you sell this item for i.e. the price your customer pays. 

Tax Rate​ – The tax rate to use for this item. You can find out more about tax rates here

Copying a Kit

To copy a kit:
  1. Select the Kits tab in Settings.
  2. Select the Kit you would like to copy.
  3. Select the Copy Kit icon in the top right corner.
  4. Make edits as needed.
  5. Select Save when you're ready.

Adjusting a Kit

To adjust an item within a Kit:

  1. Firstly, remove the single item from the Kit by selecting the button on the right side of the line item.
  2. Add the item back into the Kit and update the details as needed.
  3. If your Kit needs items to be in a specific order, simply drag and drop items. Select the three dots to the left of the line item and move as needed.
  4. Select Save when you're done.

Previewing The Kits Price 

Within the Kit, you can view the price breakdown, including cost, gross profit, subtotal and tax of the Kit. You can also see how the price breakdown changes based on the Pricing Level and Tax setting. 

To do so, use the corresponding dropdowns under the Kit Price Preview section.

Deleting a Kit

To delete a Kit, head over to Settings, click on Kits and then select the X icon on the right-hand side of the Kit you wish to delete. 

Note: Kits cannot be deleted if they have already been used on a Quote. Instead, use the "archive" function (covered in the following section).

  

Archiving a Kit

Archiving a Kit will subsequently remove it from being used or seen throughout Tradify. You will still have visibility of it within Settings and also within historical records, but it won't show as an option anywhere else.

To archive an existing Kit, head over to Settings and select Kits. Next, click on the relevant Kit and then select "Archive this Kit", followed by "Save".
