Create Recurring Jobs

The Recurring Job feature on Tradify is a convenient tool that allows you to create jobs on an ongoing basis. Essentially, a recurring job serves as a template that can be used repeatedly, which is particularly useful if your business requires the creation of jobs on a regular or repeating basis.

To create a recurring job:

  1. Head to the Jobs Dashboard.
  2. Go to the Recurring Jobs tab.
  3. Select New Recurring Job.

Important Note: Once you've set up your recurring job template, Tradify will automatically begin creating jobs based on the preferences you've specified in the template.

Moreover, after the Recurring Job template has been established, any modifications made to a job record will not impact the Recurring Job template from which the job was created. Furthermore, alterations made to the Recurring Job template will not be retrospectively applied to existing job records that were created from the template. They will only apply to new jobs generated after the change has been implemented.

Note: Below is a comprehensive list of each field and what they represent.

Job Schedule Details

Job Type Options:

  1. Create and Schedule Job: This option will generate the job and schedule any corresponding appointments into the Scheduler according to the set frequency.
  2. Create and Assign Job: This option creates the job and assigns it to a staff member but does not schedule it.
  3. Create Job Only: This option simply creates a job record.

Frequency Options:

Please note: If the date you specify does not occur in a given month, the last day of the month is used instead. For example, February doesn't have 29th, 30th, 31st, so instead, it'll be set to the 28th.

  1. Daily: This setting allows the job to be created on a daily basis, according to the number of days entered in the following "Every" field.
  2. Weekly: This setting allows the job to be created on a weekly basis, according to the number of weeks entered in the following "Every" field.
  3. Monthly - day of the month: This setting allows the job to be created on a monthly basis, based on the date in a month (i.e. 1st, 2nd, 3rd etc.). This is also impacted by the following "Every" field.
  4. Monthly - day of the week: This setting allows the job to be created on a monthly basis, based on the day of the week (i.e. Mon, Tues, Wed, etc.). This is also impacted by the following "Every" field.

Additional Field Information

The rest of the fields adjust according to the selections made and also whether you are creating a job only, creating and assigning a job, or creating and scheduling a job.

  1. Next Occurrence: This field indicates the date on which the next job will be created.
  2. Stop Date: This field allows the user to specify an optional stop date for the job.
  3. Create Job: This field enables the user to specify the number of days before the Next Occurrence date that the job should be created.

 

Job Information

Provide a detailed description of the job in order to easily identify your recurring job template. Additionally, you'll need to include the relevant customer for this job. If the customer is new, click the '+' icon to create a new customer profile. If applicable, please indicate the specific customer location where this job will take place.

Additional Job Details

You should provide detailed information for the following aspects of the job:

  1. Job Status: This feature allows for the automatic assignment of status to each job. For more information on the different job statuses available, please refer to the provided link.
  2. Job Categories #1 and #2: These categories are used to categorise jobs in a meaningful way. The default categories are based on job priorities and work types, but you also have the option to create your own custom categories. To learn more about job categories and how to use them effectively, please visit the provided link.
  3. Job Address: This refers to the physical address where the job will take place. You can search for the address by typing it into the designated field. Once the address is located, a green tick will appear on the right-hand side, indicating that Tradify can display this job on the map.
  4. Job Description: This field is used to provide a detailed description of the work that needs to be done for the job. Please input all relevant information regarding the scope, requirements, and any other necessary details for the job.

Job Tasks

Job Tasks can allocate and oversee specific actions or stages that need to be completed on a Job. Tasks can also be utilised to track costs per stage or milestone on a Job.

Contact Information

Please provide the full contact details (including name, phone number, and mobile number) for both the individual who has requested the work and the person who will be present at the job site.

Custom Information

Please provide detailed information on how to set up and configure Custom fields in order to record specific business-related information on the job.

Staff

Use the + icon to assign staff members to the job.

 

Recurring Invoices

Recurring Invoice can optionally be set up to auto-generate in line with the Recurring Job.

If a Recurring Job has a Recurring Invoice, it appears at the bottom of the Recurring Job screen, as shown below.

 

To edit the Recurring Invoice, simply click on the Invoice Name or Customer and it will open the Recurring Invoice template, as shown below.
