Automated Appointment Reminders via Text Message in Tradify

Remind your customer or site contact of their upcoming appointment with Tradify's automated text message reminders. This feature is a great way to make scheduling jobs and communicating with customers more efficient.

Your Text Reminders are connected to Appointments, meaning that they are triggered by scheduling appointments into the calendar. Your appointments will need to be connected to a Job. This is so Tradify can pull through a contact number from a Customer Profile. 

Automated Text Reminder Regions

You can access automated text reminders in the following regions:

  • Australia
  • New Zealand
  • United Kingdom
  • Mainland USA & Hawaii

Activating Text Reminders

You can activate text reminders in order to send different automatic text messages (SMS) to your customers and/or sites reminding them, for example, of an upcoming job appointment. Here is how.

Text reminders are available in certain countries and for Paid Tradify subscriptions.

1. On the Settings dashboard, go to the Subscription & Billing section.

2. On the text reminders section, click Start Using Text Reminders to activate text reminders.

3. Click Yes on the pop-up to confirm the activation, agreeing to be charged per text.

Once text reminders are activated, they are enabled by default. You can then enable and disable them anytime.

 

Enabling/Disabling Text Reminders

Once text reminders are activated, they are enabled by default. You can enable and disable them in order to start or stop sending automatic text messages (SMS) to your customers/sites. Here is how.

1. On the  Settings dashboard, go to the  Subscription & Billing section.

2. On the text reminders section, click the toggle to enable/disable text reminders.

  • Text reminders are disabled — Automatic text messages can't be sent out.
  • Text reminders are enabled — Automatic text messages can be sent out.

3. Click Update Subscription to save your changes.

4. (If applicable) Click OK on the pop-up to confirm the enabling/disabling.

 

Sending Text Appointment Reminders

To send text appointment reminders, the appointment needs to be attached to a job, and text reminders need to be activated and enabled in settings — See Text Reminders Settings

1. On the Scheduler dashboard, go to the job appointment you want to send a reminder about.
You can also create a new job appointment — See Scheduling Jobs

2. (If applicable) On the appointment window, select, enter or edit the customer/site’s mobile number.

This appointment window will only show the mobile number recorded on the customer/site's information, as long as it is a valid mobile number. If you entered or edited a mobile number here, it will be recorded on the customer/site's information.

3. Click Save to save your changes.

Sending a Text Reminder from Recurring Jobs

Using Recurring Jobs and Automated Text Reminders to create Service Reminders

If your work requires annual or longer-term service appointments, you can create service reminders with our Automated Text Reminders.

To do this:

  1. Create a Recurring Job.
  2. To create annual jobs, select Monthly for frequency and enter in 12 months (or the relevant frequency) for the Every ___ months section.

  3. When creating the jobs, scroll down and select the checkbox under Appointment Text Reminders. 
    Note: The customer you attach to this Recurring Job must have a mobile phone number.

  4. When you have entered the relevant details, select Save.

Text Appointment Reminders: Timing & Content

The timing and content of text reminders are fixed. You won’t be able to see nor edit them before they get sent. Once you have chosen to send text reminders, up to two different ones will be sent:

➤ A just-in-time reminder

For appointments scheduled at and after 10 am, the reminders will be sent at 8 am on the appointment day.

Hi, friendly reminder we’ll be onsite today at approx (appointment time). Thanks, (company name) [Auto Msg - Pls Don’t Reply]

For appointments scheduled before 10 am, the reminders will be sent at 8 pm the night before the appointment.

Hi, friendly reminder we’ll be onsite tomorrow at approx (appointment time). Thanks, (company name) [Auto Msg - Pls Don’t Reply]

➤ A 2-days reminder

The reminder will be sent at 9 am 2 days before the appointment day, regardless of the appointment time.

Hi, friendly reminder we’ll be onsite (appointment day) at approx (appointment time). Thanks, (company name) [Auto Msg - Pls Don’t Reply]

 

Pricing, Invoicing & History Report

Pricing — The price per text will be displayed in the text reminders section. You'll be charged for each text successfully sent.

Invoicing — Accumulated charges for your text reminders will appear as a single line item on your Tradify subscription invoice.

History Report — Once text reminders are activated, whether or not they are enabled, you'll be able to download a CSV file with details on each text: date and time sent, mobile number sent to, content, and status (sent or not sent).

  • I like the idea, we have customers come to us.  I can't see how I can change the message from Onsite to say "your booking"
