Creating Timesheet Entries on Tradify Web

Learn about how to enter in historical and non-billable time against a Job with Timesheet entries on Tradify. 

If you're wanting to quickly enter time against a job in a live environment, we recommend using the Job Timer function within the job, or by creating a timesheet entry within the jobs 'time' tab. More information on these processes can be found here.

  

Creating Timesheet Entries

To enter a timesheet entry within the Timesheets tab, navigate to Timesheets, select the Staff Member icon (that you wish to enter the timesheet entry for), and then click the + icon to create the entry.

Note: Below this video, we've added a detailed list of what each field represents when creating the timesheet entry. 

Date – The date of which the work was carried out.

Hours – The number of hours used.

Minutes – The number of minutes used.

Job - Use this field to select the Job the entry is for.

Note: If you do not assign the entry to a Job, Tradify will assume the entry to be non-billable. For more information on non-billable timesheet entries, please see here.

Task – Use this field if you'd like to assign your Timesheet Entry to a Task.

Billing Rate – This is the hourly rate that Tradify will use to charge your customer. This defaults to the Staff Members default billing rate, but you can change it by using the drop-down button. For more information on Billing Rates, please see here.

Important Note: The Hourly Cost is taken from the Staff Members profile, not the Billing rate. This is so the system can accurately calculate the cost of each employees time.

Notes – a description of the work carried out - This field is optional.

 

Editing Working Hours

Tradify allows you the option of editing your timesheet to reflect your working hours, whatever these may be. 

To do this:

  1. Go to Settings.
  2. Go to the Scheduler settings.
  3. Select your desired time under the Working Day Start and Working Day End fields. You can either type in your times or select the clock icon to choose a specific time.
  4. Select Save.
  5. Head to the Timesheet settings.
  6. Select your Timesheet Week Start and Time tracking method. You can choose to display your selected work hours or the duration of your entries.

Timesheet Key

There are three colour variants to timesheet entries. Each colour represents the type (or stage) of the entry.

Green – The timesheet entry is billable and has already been invoiced.

Red – The timesheet entry is billable and has yet to be invoiced.

Orange – The timesheet entry is non-billable.
